Permits & Fuel Tax

Permitting and Fuel tax is an intimidating process—let us take the mystery out of it for you. Please see the Chart Below to understand the permitting and fuel tax process.

Permit Who needs it? What is it?
UCR (Unified Carrier Registration) Permit
  • Private Carriers
  • Common Carriers
  • Contract Carriers
  • Brokers of Property
  • Freight Forwarders
  • Leasing Companies
An electronic permit that does not need to be carried in the vehicle.  The officer knows it is paid by your USDOT Number.
IFTA (International Fuel Tax Agreement) Permit
  • All 2 axle vehicles with a GVWR of 26001 pounds or more.
  • All 3 axle or more vehicles regardless of weight
  • Except IL Only vehicles

 

You will receive 2 stickers which need to be placed on each door of the vehicle along with an IFTA License which belongs in your Permit book in the vehicle.  Purchase of this permit will require quarterly IFTA fuel tax filings.
KYU Number
  • All vehicles 60,000 pounds or more
This is an electronic permit.  It no longer needs to be marked on the doors.  The officer knows by your USDOT Number if you have registered with Kentucky.  Purchase of this permit will require quarterly KYU tax Filings.
KY VIN Registration
  • All vehicles 60,000 pounds or more
Each vehicle’s VIN number must be registered under your KYU prior to entering KY for the first time.
New Mexico WDT Permit
  • All vehicles 28,000 pounds or more
This is an electronic permit.  The officer knows by your USDOT number that you have purchased the NM WDT Permit.  Purchase of this permit will require quarterly NM WDT Filings.
NY New Registration
  • All Companies that intend to purchase a first time NY TMT Permit
This is electronic.  It is New York’s way of setting you up in their system.  They require detailed information on the company and a corporate officer.
NY TMT Permits
  • All Vehicles 18,000 pounds or more
NY issues a decal that belongs on your bumper.  They also issue a permit to be carried in your permit book.   Purchase of this permit will require quarterly NY TMT tax filings.
Oregon PUC
  • All Vehicles 26,000 pounds or more
OR issues a permit per vehicle which must be placed in the permit book.  Purchase of this permit will require MONTHLY Oregon mileage tax returns.  Once twelve returns are filed and paid timely, you may request quarterly filings.

Fuel Taxes

Once permits are purchased, you are required to file taxes.  Fuel taxes are computed using the driver daily mileage records and fuel receipts.  Mileage taxes are computed using mileage only and are paid in addition to the fuel taxes.  Both fuel and mileage taxes are filed electronically with the appropriate states.  Payments are made directly from your checking account to the state.

Our experienced staff can organize and enter your driver records for you.  This service will free your staff to focus on the daily operation of your company.  We will provide you with cost analysis printouts per unit which will allow you to charge back the vehicle owners or properly expense the tax.  All records are returned to you upon completion of the computation and filing.
